We are seeking a highly organized, proactive, and experienced Office Manager who thrives in a fast-paced environment and has direct experience in the construction or restoration industry. This key role will manage administrative operations, QuickBooks Online accounting, AP/AR, HR tasks, and CRM processes, acting as a central point of communication between field crews, leadership, clients, and vendors.

Job Duties

Administrative & Office Management
– Oversee all daily office operations, ensuring efficiency and organization in all administrative functions
– Serve as the first point of contact for internal and external communication
– Maintain schedules, coordinate meetings, and support senior leadership
– Organize digital and physical records for customer files, contracts, and permits
– Track active job files, documentation, compliance records, and project milestones

Accounting (QuickBooks Online, AP/AR)
– Manage full-cycle Accounts Payable and Receivable using QuickBooks Online
– Generate customer invoices and reconcile payments from clients and insurance providers
– Process vendor bills, material receipts, subcontractor payments, and check runs
– Prepare financial reports, assist with month-end close, and maintain accurate bookkeeping records
– Work with CPA or Controller for year-end tax prep, audits, and reporting

Human Resources
– Support recruitment and on boarding of new hires including employee documentation, background checks, and benefits enrollment
– Maintain up-to-date HR files, job descriptions, and employee handbooks
– Track timecards, PTO, and assist with payroll coordination
– Ensure compliance with labor laws and company policies
– Foster a positive and professional work culture in line with US Roof’s core values

CRM & Project Coordination
– Maintain customer records and lead tracking through the company’s CRM platform
– Monitor project progress, assign tasks, and update job statuses for visibility across teams
– Assist sales reps and project managers with contract prep, material orders, and insurance paperwork
– Generate internal performance reports, pipeline summaries, and production updates

Job Requirements

– 3+ years of office management experience in construction, roofing, or restoration industry
– Strong proficiency in QuickBooks Online (required)
– Experience with CRM systems
– Knowledge of construction processes, insurance restoration workflows, and project documentation
– Solid understanding of AP/AR principles, bookkeeping, and HR best practices
– High attention to detail, organization, and time management
– Ability to multitask, problem-solve, and communicate effectively with diverse teams
– Proficient in Microsoft Office (Outlook, Excel, Word) and cloud-based tools
– Bilingual in English/Spanish is a plus but not required
